Nivlo vs Google Drive in 2026: when Workspace is enough and when you need more

Nivlo compared with Google Drive in Google Workspace Business Starter, Standard and Plus: per-user pricing, receiving files from suppliers, share-link controls, RAW previews and EU data regions.

Daniel Robert Dinu, founder of Nivlo ·

The short answer: Google Drive is excellent for documents you create and edit together in Google Docs, Sheets and Slides. It wasn’t built for the flow of photos and videos coming in from suppliers and going out to clients and press. Most companies don’t need to choose: they keep Google Workspace for email and documents and use Nivlo for visual assets and external partners.

All Google figures below come from Google’s official pages, checked on 6 November 2026. Prices are those shown to European visitors, per user per month, excluding VAT, without introductory discounts.

Workspace includes email, Meet, Docs and Gemini, which Nivlo doesn’t. The comparison is about files, not the whole suite.

Where Drive falls short with visual assets

Receiving files from outside

An agency, a photographer or a journalist without a Google account has no simple way to upload into your Drive. Usually the files arrive through WeTransfer or another service, someone downloads them and uploads them again, and the original context is lost.

In Nivlo, you send an upload link and files land straight in the project folder.

Receiving files through a Nivlo upload link: the supplier needs no account. Recorded in the demo account.

Delivering to clients and press

In Drive, “anyone with the link” access can be turned on, but expiry dates apply to individual people, and only on work or school accounts. Google’s documentation doesn’t mention a password for links.

In Nivlo, every share link has its own options: expiry date, web version or original for download, a password from Professional and restriction to an email domain from Business. You can change or delete the link at any time.

Previewing RAW, PSD and video

Drive previews PSD, AI, TIFF and common video files, but RAW is not on Google’s list of supported formats. Nivlo previews more than 50 formats, including RAW, PSD and PSB, and automatically creates lightweight video versions for fast playback. You can comment on any file and leave timecoded feedback on video.

Price for a team of 15

  • Workspace Business Standard: 15 × €13.60 = €204 a month, with 30 TB of pooled storage, email and Docs included.
  • Nivlo Professional: €150 a month, 2 TB, unlimited users and partners.

If you need lots of storage for documents, Workspace gives far more per euro. Nivlo’s price doesn’t grow with the people who need access to your assets: agencies, freelancers and colleagues from other departments.

When Google Drive is enough

  • You work mainly in Docs, Sheets and Slides and edit together in real time.
  • Your files come from inside the company, and partners already have Google accounts.
  • You rarely work with RAW photos, large videos or press kits.

When Nivlo makes sense alongside it

  • You receive photos and videos from agencies, photographers or suppliers every week.
  • You deliver selections to clients, sponsors or press and want control over each link.
  • You need data stored in the EU and you’re on Business Starter.
  • Many people need access to the asset library, and you don’t want to pay a seat for each.

Frequently asked questions

Is Google Drive enough for a marketing team?

For documents, spreadsheets and presentations created in Google Docs, yes. It gets harder with photos, video and files from outside the company: Drive has no upload link for people without an account, link passwords are not mentioned in Google's documentation and RAW files are not listed among the formats it previews.

Can people without a Google account send files to my Drive?

Google's official Drive documentation doesn't describe a file request or upload link for people outside the organisation. In Nivlo, an upload link delivers files straight into the folder you choose, and the sender needs no account.

Can I keep Google Workspace data in the EU?

Yes, with data regions, but only on Business Standard, Business Plus and higher editions. Business Starter doesn't include data regions. Nivlo stores files on dedicated servers in Germany and Finland on every plan.

How much does Google Workspace cost compared with Nivlo?

Google Workspace costs €6.80, €13.60 or €21.10 per user per month (Starter, Standard, Plus), excluding VAT, and includes email, Docs and Meet. Nivlo costs €50, €150 or €350 per month for the whole team, with unlimited users. Many companies use both: Workspace for email and documents, Nivlo for visual assets and external partners.

Do I have to give up Google Workspace to use Nivlo?

No. Nivlo doesn't replace email, Docs or Meet. It takes over the part Drive wasn't built for: receiving, reviewing and delivering photos, videos and files to clients, agencies and press.
